Our way of working

designed to safeguard the intellectual integrity of your documents.

Our editors and translators work as a team, maintaining direct contact with each other and with the authors as appropriate. Communication and feedback are at the heart of our system. 

Proofreading/editing

We view the correction and improvement of your document as a collaborative process between our experts in technical English and you, the authors. Critically, this collaboration ensures that your original ideas are faithfully conveyed. In addition, both learn from the process: you improve your English; the editors gain a deeper understanding of your work. We have a very positive experience of such ongoing partnerships.

The usual process is as follows:

  1. you send us your text to be proofread/edited or, preferably, the document to be corrected, as it is useful to see the text in context, i.e., with figures, etc.
  2. we give you a quotation and, when approved, go ahead with the commission
  3. we return a draft document with two types of changes

i) straightforward corrections, e.g., grammatical and typographical errors
ii) more complex modifications proposed where your original text lacks clarity, i.e., your intended meaning may be in doubt

  1. you review the changes to approve the changes proposed and/or clarify the intended meaning, as appropriate, writing comments in the margin and/or implementing changes (marking them with Track changes or colours)
  2. steps 3 and 4 are repeated until our team feels able to propose a final or nearly final version, arranging a time to discuss remaining concerns with the author over the phone if appropriate
  3. we send you a polished document.

If there are several authors, we like to have a principal contact, but are happy to also discuss changes with other interested parties.
Note that the cycle of correction and consultation may need to be repeated multiple times for complex documents requiring significant amendment.

Translation

The translation of a document by its nature requires less communication with the author than correction. Nevertheless, to achieve a translated version that is not literal but is completely faithful to the original, we may still wish to contact the author. For example, in the case that the meaning of some phrases in the original is ambiguous, to be sure that the correct emphasis is transmitted in the target language.

To enhance the efficiency of the process, please do send us your reference list. It is very useful, not just for checking vocabulary and expressions used by reputable authors in the field, but also because the type of publication (review, primary study, etc.) and date of publication (recent or not) influence the drafting of the text. In this way, we can resolve routine and trivial questions quickly and independently, and focus our time working in consultation with authors on the key issues of accuracy and meaning. 

Confidentiality

Working with your research results is a privilege we don´t take lightly. Confidentiality agreements can be signed as appropriate (e.g., when a patent is pending).  The content of all documents we handle is treated as strictly confidential. Systems used to process and store files are password protected, reducing the risk of unauthorised access. 

Formats

We are happy to receive texts in a variety of formats, including documents from Microsoft Office or OpenOffice, and LaTex files. So that authors can review our proposals, we use the "Track changes" tool provided by Office software and the equivalent in OpenOffice, or visual editors (or .diff) for LaTex.
